Teams — working together

Make a team, invite people by their e-mail, give them roles, split the team into groups, hand it over, leave or delete it.

Updated 2026-11-08

A team is a group of people who work together on the site's services — friends, colleagues, a small company. Its members see each other, and the services share their work inside the team: today the team's chat, shared letters and the team's shared mailbox (see Plans and the shared mailbox).

Where to find it

  • Profile → Teams — open your account menu (your picture or initials, top right) → Profile → the row Teams.
  • In Mail: the gear → Team (the row under the list of settings).
  • Straight away: /teams.

The page Teams shows the invitations waiting for you, your teams with your role in each, and the box A new team.

Making a team

  1. Open Teams.
  2. Under A new team type its name and press Make the team.

You become its owner. A team of up to five people is free (the people counted are the members and the invitations still waiting for an answer).

Inviting people

  1. Open the team → Members.
  2. Under Invite a person type their e-mail address; the owner also chooses the role (Member or Administrator).
  3. Press Invite.

What the person gets:

  • They have an account on the site — a notice on the site (Profile → Notifications), an e-mail and, if they switched them on, a push notification. The invitation also waits for them on their Teams page.
  • They have no account yet — one e-mail with the link. The link lets them make an account (with Google, another outside account or a password) and brings them back to the invitation.

The invitation is valid for 14 days. Under Invitations waiting you can Send again (the 14 days start again), copy its link, or Revoke it. The person decides: Accept and join or Decline. When they accept, the one who invited them and the owner get a notice.

Whoever opens the link signed in may accept it — the link reached the invited address. Send invitations only to people who expect them.

Roles inside a team

Role May
Owner (one person) everything: the plan and its payment, naming administrators, handing the team over, deleting it
Administrator invite and take out members, make the groups, set up the shared mailbox, rename the team
Member see the team and its groups, add the shared mailbox to their Mail

An administrator takes out only plain members — never another administrator or the owner. Only the owner changes roles (in the members list, the select beside a person).

These roles belong to ONE team. They are not the site's own roles (administrator of the site, manager, client).

Groups

Groups split a team — a department, a project, the people on one case. Open the team → Groups → New group: a name, a colour, who is in it (tick the members). A person may be in several groups. Deleting a group keeps its people in the team.

Mail’s shared letters may go to a group; the chat may get channels per group later.

Handing over, leaving, deleting

Open the team → Settings:

  • Hand the team over (the owner): choose a member — they become the owner, you stay as an administrator.
  • Leave the team (administrators and members): you no longer see it; the team's mailbox leaves your Mail. To come back you need a new invitation. The owner hands the team over first.
  • Delete the team (the owner): its members, groups and invitations go; the shared mailbox leaves everyone's Mail (it stays on its server). A team with a running paid plan is deleted after cancelling the plan.

When something does not work

  • "The team has no room for more people" — the plan is full (invitations waiting count too). Revoke an old invitation, or the owner chooses a bigger plan: Plans and the shared mailbox.
  • The invitation did not arrive — check the spam folder; Send again, or copy its link and send it yourself.
  • "This invitation has expired" — ask for a new one (or Send again from the team).
  • No Teams row in the profile — your account has no profile access; ask an administrator of the site.
